The SOL-IT Cubes are so versatile, adaptable, expandable – simply dynamic. And we know that. That’s why our team is constantly developing and optimising the Cubes. Each release hides new surprises that we naturally don’t want to keep from you.

With the new release 2023.02. we present this time mainly the topic of proformance, but we have also worked out extensions.

We would like to give you a small overview. You can find more detailed information about the new release here.

Favorite’s area: Central search for objects in favorites as well as across modules

The functionality of the Favorites window has been significantly expanded and improved. In the search area at the top, when a search term (at least 3 characters) is entered, not only your own favorites and history are filtered, but also a full-text search is carried out on the entire data. The results of the search are displayed under a separate „Search“ node. For example, if you enter a project name or even just the project code, all projects will be found, even if you have not currently linked them to your favorites. If the hash sign „#“ is entered in the search area, you can specify the object type that you want to search for. „#Dokument“ would perform a full-text search for documents. This means that you can search for any object in cubes via the favorites without changing the module.

Note: Via the menu Tools / Options / General / Tab „Search“ you can predefine which object types should be searched. With the F7 key you can quickly jump into the search field of favorites in Cubes.

mobileCubes App: Direct download of addresses to the mobile device

The mobileCubes app has been extended with the standard function for downloading an address list maintained in Cubes. This means that addresses can be downloaded directly to the local mobile device via the mobileCubes app, even without synchronization to an Exchange server. It is possible to update the data by downloading it again. This means that the desired addresses are always available on the mobile device. The download can be accessed in mobileCubes via Settings / Address List Download / Start Download . If necessary, the „Delete addresses“ function can also be used to remove the downloaded addresses from the mobile device in bulk.

Note: The address list that syncs my addresses to my phone is managed in Cubes and assigned to the user in question under Menu Tools / Options / Tab „mobileCubes“ / Address List. This address list is transferred to the mobile devices .

PDF Editing: Direct editing of PDF documents with comments, text and signature

Via the preview of PDF documents / tab „Comment“ there is a great extension to add comments of different types to the PDF document . In addition to highlighting (e.g. color, underline, strikethrough), note comments, OK and attention callsign symbols are also supported. In addition, there is also the option to insert text directly intothe PDF document and even a signature stored in the user profile by entering a PIN code can be inserted. For example, it is easy to add annotations to invoice documents.

Note: To use the signature, a document/image with the signature is required first (image should not be too large). It is recommended that the image be marked as „private“ for the user in question so that it cannot be viewed by other users. The signature can be activated as the user concerned via the menu Tools / Options / dmsCube / tab „More settings“ / selection „Signature stamp“ in the field „Stamp“ / under „Background image“ select the image with the signature and enter a multi-digit PIN code in the PIN field. It is possible to insert the signature in the PDF document by entering the PIN code.

Permissions Inheritance Policies from Folder to Subfolder

To ensure that authorizations are automatically assigned when assigned, e.g. to a project or address, there are so-called inheritance guidelines. Inheritance policies can also be assigned to individual folders within a project (or other object). With this additional feature, it is also possible to transfer the permissions assigned to the main folder to the subfolders. This means that you don’t have to assign permission policies to each folder individually, but only one parent folder.

For example, a project creates a Billing folder with a few subfolders. On the main folder, the properties of the folder are used to define the „Accounting“ authorization to be assigned automatically when assigned. If this option is enabled, this also applies to the subfolders at the same time, if objects are assigned here.

CuFiS Archiving: CuFiS Access with Credentials

In combination with the „CuFiS Archiving“ function, the archive locations (repositories) can also be created outside the Windows domain or network for better distribution and additional protection of data. For this purpose, access is required by means of login data, which can be stored for the connection when setting up the archive locations. This means that CuFiS repositories can also be controlled on a NAS drive outside the Windows domain or servers outside the network for the secure storage of data.
